Dynamics 365 Business Central Pricing: How Price Lists and Discounts Work

When people search for Dynamics 365 Business Central pricing, they usually mean one of two things: what the licences cost, or how the system prices what you sell. This guide covers the second. It explains how Business Central works out the price and discount on every sales line, and how to keep that pricing under control.

Three ways to price what you sell

Business Central supports a single price for each item, special agreements with a customer or a group of customers, and campaigns that apply when an order meets set conditions. The simplest model needs only the unit price on the item card, and that price is used on every sales document.

Special prices can depend on the customer, the item, the unit of measure, a minimum quantity and the dates the price is valid. That covers most UK wholesale and distribution price structures without any customisation.

How price lists work

In the current pricing experience, prices live on price lists. Each list applies to something you choose in the Applies-to Type and Applies-to No. fields, such as a single customer or a customer price group. A new list starts in Draft status and is ignored by price calculation until you set it to Active.

You can fill a list quickly. Suggest Lines adds items that match a filter, Copy Lines takes the lines of another list, and an Adjustment Factor raises or lowers prices as they are copied. For many changes at once, the Edit in Excel action lets you work in a spreadsheet and publish the result back; Microsoft's Excel help covers the spreadsheet side.

How Business Central chooses the best price

On a sales line, Business Central looks up prices and line discounts for the customer in the Bill-to Customer No. field. It checks agreements for that customer and for any group it belongs to, then the item or item discount group, the unit of measure, any minimum quantity and the date.

The best price is the lowest price with the highest line discount allowed on that date. For invoices and credit memos the date is the posting date; for other documents it is the order date. If no special price applies, the unit price from the item card is used.

Line discounts and invoice discounts

  • Line discounts sit on the price list next to the price. The Defines field controls whether a line sets a price, a discount or both.
  • Invoice discounts take a percentage off the whole document when its total passes a minimum amount, set for each customer on the Cust. Invoice Discounts page.
  • Service charges can be added on the same page for invoices over a set amount.

To calculate invoice discounts automatically, turn on Calc. Inv. Discount in Sales & Receivables Setup. Be clear whether the prices you enter include VAT, and check the current UK VAT rates for the goods you sell.

Keeping pricing under control

Pricing problems in Business Central usually come from too many overlapping lists, not from the software. Review active lists each quarter, retire old campaigns by setting their lists to Inactive, and verify lines after editing prices so that duplicates do not confuse the calculation.
